Job Description: Administrative Human Resource Assistant
Position Summary:
Under the supervision of the Office Manger, HR and Director you will be responsible for assisting with Human Resource administrative tasks and other special projects.
Responsibilities:
- ● Maintain confidential information following all policies and procedures.
- ● Able to photocopy, scan and create digital and hard copy files for personnel.
- ● Maintain up to date personnel files with all information.
- ● Attendance and time tracking, annual and daily.
- ● Able to take direction and learn on the job with an evolving organization.
- ● Take notes for meetings complete with digital and hard copies for filing.
- ● Able to work within a team or independently when needed.
- ● Competent typing skills of 45-60 WPM.
- ● Knowledge of Microsoft Office, Word, Excel, Powerpoint, email and Gmail.
- ● Knowledge of filing and office procedures.
- ● Scheduling, calendar entries and time management skills needed.
- ● Attend and contribute to the success of strategic planning and staff meetings.
- ● MUST have your own transportation to and from work.
- ● Ensure no unapproved visitors enter the premises.
- ● Maintain a professional relationship with all staff, families and other collaterals in the building.
- ● When responding to emergency or crisis situations and/or contact 911, Program Manager and Management.
- ● Ensure no drugs, alcohol or illegal substances enter the building.
- ● Respond to staff or clients questions or concerns with empathy and professionalism.
- ● Must remain on site on your assigned shift.
- ● Daily Shift summary of task completed.
- ● Other duties as assigned.
Qualification:
- ● Must have Grade 12 education and a college or university education is preferred,5 years experience in Administrative and or Human Resources.
- ● Experience in job posting, resuming screening, reference checks and applicant interviewing packages.
- ● Onboarding procedures and creation of personnel files.
- ● Be diligent, dependable and on time.
- ● Will be required to perform a typing test if you are a successful applicant.
- ● Valid Class 5 Driver’s Licence and access to a vehicle.
- ● CPR First Aid
- ● Computer Literacy, including MS Word, Excel,excel, email, and data entry, gmail.
- ● Excellent verbal, written and communication skills to articulate information to staff and professionals.
- ● Strong morals and ethics, along with a commitment to staff and client privacy.
- ● Able to follow the missions and vision statements of Makoon Transition Inc. for the success of Makoon Transition Inc.
- ● Strong organized and time management skills are a must to work with a team or independently when needed.
- ● Must provide clear criminal record, adult and child abuse registry checks.
- ● Have references available if you are the successful applicant.
- ● Able to manage multiple tasks.
